ERP VM unresponsive (RDP down, console frozen) with Backup Repository at 100% usage

Hello Sangfor Community,
I am George Fady, Technical Support Engineer, and I would like to share a practical troubleshooting case related to a full backup repository in Sangfor HCI.
Problem Description
A production Windows Server VM hosting SQL Server became unreachable over RDP, and its HCI Manager console stopped responding. At the same time, the platform raised a Backup Creation Failure alert:

  • Datastore: VirtualDatastore1

  • Backup Repository Usage: 100%

  • Free (Backup): 0 B (about 339.69 GB was required for the backup)

Root Cause
The underlying virtual datastore was healthy, with 16.84 TB free out of 43.85 TB. The dedicated Backup Repository, however, was allocated only 4.21 TB and was completely used. The repository is a separate capacity allocation on top of the datastore, so it can be full while the datastore still has plenty of space.
Resolution Steps

  • Check Storage → Virtual Storage → Overview and confirm the datastore has free space.

  • Navigate to Reliability → Scheduled Backup/CDP → Backup Repositories.

  • Locate the affected repository and check Capacity, Used and Free (Backup).

  • Click Update and increase the allocated capacity within the datastore’s available space. This does not require VM downtime.

  • Alternatively, free space in the existing quota by deleting old backups, after confirming retention requirements.

  • Refresh the page and confirm Free (Backup) is above 0 B.

  • Review any Alert badge on the datastore and the physical disk status to rule out disk health issues.

  • Monitor the VM console and backup jobs. If the VM stays frozen, plan a single controlled restart instead of repeated resets.

Key Takeaway
A backup repository is a separate quota from the datastore, so check both when backups fail. Address high repository usage before it reaches 100%, because a full repository stops backups and can add to storage-side instability.
When troubleshooting backup repository alerts, check:
Datastore Free Space → Repository Capacity → Used → Free (Backup) → Backup Retention → Disk Health
I hope this case helps other engineers working with Sangfor HCI. Feel free to share your experience with backup repository capacity management in the comments.
